1. Introduction. This privacy policy outlines how Dr Siobhan Henley collects, uses, and protects the personal data of supervisees . As a healthcare professional and EMDR Consultant, I am committed to the highest standards of data protection, governed by the General Data Protection Regulation (GDPR) and the Data Protection Act 2018.
2. Data We Collect. We collect information necessary to provide professional supervision and support your path to EMDR UK Accreditation. This includes:
Identity Data: Name, professional post-nominals, and professional body registration numbers (e.g., GMC, HCPC, BACP, UKCP).
Contact Data: Email address, phone number, and billing address.
Professional Data: EMDR training level, current clinical setting, and accreditation progress.
Clinical Data (Supervision): Notes regarding clinical cases discussed (anonymised), supervision logs, and competency assessments required for EMDR UK.
3. Clinical Case Material & Confidentiality. In line with EMDR UK standards and psychiatric ethics:
Anonymization: Supervisees are instructed not to share identifiable patient data (names, DOBs, specific addresses) during supervision or in written case summaries.
Recordings: If clinical session recordings are shared for accreditation purposes, they are viewed via secure, encrypted platforms and deleted immediately after the consultation unless otherwise agreed for specific training purposes.
Legal Basis: Processing of case-related data is conducted under the legal basis of "Professional Necessity" to ensure clinical safety and professional standards.
4. How We Use Your Data. We use your data to:
Manage your supervision appointments and billing.
Verify your eligibility for EMDR supervision according to EMDR Association UK guidelines.
Provide formal letters of recommendation and signed log sheets for your accreditation application.
Comply with professional audits by the EMDR Association UK or Europe.
5. Data Retention.
Financial Records: Kept for 7 years as required by HMRC.
Supervision Records: Kept for 7 years after the conclusion of the supervisory relationship to comply with professional indemnity insurance requirements and EMDR UK audit possibilities.
6. Third-Party Sharing. We do not sell your data. We only share information with:
Professional Bodies: (e.g., EMDR UK) only when explicitly requested by you for accreditation verification.
Legal/Regulatory Bodies: Only if required by law or to protect the safety of the public.
7. Security Measures. All digital data is stored with password protection. Any paper-based notes (if applicable) are kept in a locked filing cabinet within a secure facility. Correspondence regarding clinical cases should be sent via an encrypted PDF.
8. Your Rights. Under GDPR, you have the right to access, correct, or request the deletion of your personal data. You also have the right to lodge a complaint with the Information Commissioner’s Office (ICO).
